The Associate Director of Building and Events Services is responsible for the management and coordination of activities related to building services and University events. This includes building cleaning, events, campus moves, maintenance, painting, snow and waste removal, and pest control on a 24/7, on call basis. This is accomplished by developing methods and standards, maintaining, and monitoring the University's buildings for quality and appearance and by directing the activities of staff and outside contractors engaged in custodial operations, maintenance services and events both during the regular academic year and school breaks. The Associate Director must maintain thorough knowledge of University policies related to custodial standards and services, waste management, facilities management, student activities, union contract specifications, purchasing, computer systems, and contract negotiations. This position is classified as an Essential position for the University Emergency Response Team.

Building and Custodial Services Oversight:


Develop and execute a comprehensive custodial and building services plan to ensure that University facilities are maintained in a pristine condition.


Establish and coordinate a schedule to maintain, repair and/or refurbish buildings to University standards. This includes daily inspection of University living areas and the immediate surrounding areas, such as sidewalks, to determine deficiencies.


Manage summer building turnover process using both in-house staff and contracted services. This includes inspection, scope development, scheduling, bidding, final inspections, closeout, and budget control.


Utilize an internal computer system to manage repair orders, schedule routine inspections, assign and subcontract work, order materials and manage budget and timelines.


Oversee emergency situations related to custodial service calls, snow or waste removal, ensuring that there is an appropriate and speedy resolution.


Coordinate completion of work assignments and projects with other University departments and Facilities management team.


Administer, inspect, and approves work performed by outside contractors.


Conduct routine inspections of custodial and maintenance service work performed by Facilities Department employees.


Monitor patterns, identify and recommend options for waste management and recycling improvements. Evaluate new methods for maximizing waste recycling and communicate opportunities and cost savings strategies. Assist in implementing ways to keep the University green it it's environmental impact.


Monitor and maintain custodial materials and equipment inventory. Obtain and provide custodial and maintenance products. Provide Material Data Sheets (MSDS) to Environmental Health and Safety Department for recordkeeping.


Receive and coordinate delivery of campus bulk or large shipments from vendors to appropriate University schools and departments.


Manage and oversee all campus moves including those related to Capital Projects.



Special Event Services and Support:


Oversee, assign and execute setups for all special, major, or daily events on the main and off site campuses, and University Residence. Coordinate room set-up needs and reset schedules with housekeeping personnel and special setups with the offices of Special Events, Information Technology, Media Services, Public Safety and other applicable departments. Serve as liaison between user and setup crew, i.e., room setup, furniture requirements, housekeeping, catering, audiovisual services, parking, and security.


Conduct maintenance inspections of classrooms, auditoriums, gymnasiums, and related facilities, prepare work orders, maintain furniture inventory, and prepare requisitions for furniture, minor equipment, and supplies.


Oversee the set-up, take down, and clean-up for special events for both on and off campus buildings and classrooms, including summer camp programs, special events/concerts, convocation, commencement, open houses and fairs, and other facility requests for special events throughout the University. Communicate with various end users, inside and outside the University, regarding event preparation and implementation.



Administration and Budget Oversight:


Manage budget planning and oversight responsibility for $1 M+ in custodial, waste removal and outside contractor's expenses through judicious and demonstrably productive use of University resources.



Leadership:


Manage the day-to-day activities management and supervisor direct reports.


Recommend course of action to the Director or executes decisions, as delegated, concerning the hiring, termination, discipline, deployment, development, direction, training, and evaluation of assigned staff.


Prepare staff level recommendations to the Director. Maintain weekly work performance, job records, time-keeping records, and reports of staff.


Oversee the supervision, training, and development of personnel assigned to the department and ensures that all safety and OSHA regulations are observed.



Reports, Policies and Contracts:


Prepare draft plans, proposals, policies, and procedures for University wide facilities services program for review and approval by the Director. Ensure that policies and procedures are followed.


Develop requests for proposals and bid documents/specifications for contracts and consulting services from vendor, oversee bid solicitation, bid summaries and recommendations. Ensure Minority and Women-Owned Business Enterprise (M/WBE) participation within assigned budget scope. Review job requests, prepare and present labor and material estimates to the Director.



Additional Functions


Assist in managing daily operations of the campus facilities.


Assist in building maintenance as required.


Available to provide coverage for the on-call rotation.


Provide management backup coverage to the Director as needed. Assist the Director in the implementation of long- and short-term plans and programs for Facilities Management.


Serve on various committees as necessary that are within one's capacity and foster University needs as determined by the Director.


Uses exceptional professional judgment in managing confidentiality regarding all matters involving restricted information.

Job Requirements:

Bachelor's degree in business or operational management or technical school degree and at least 5-7 years of experience in all aspects of custodial services in a multi building, multi location environment.


Demonstrated comprehensive knowledge of custodial techniques, equipment and its use, light construction including painting, snow removal and material treatments.


A minimum of two years supervisory experience in a union environment.


Proven track record of job bidding and awarding process.


Knowledge of best practices in the field.


Demonstrated ability to analyze problems, identify solutions and to make and implement effective decisions.


Intermediate knowledge of hazmat methods and execution of material data safety sheet requirements.


Ability to address multiple tasks, technical issues and contingencies simultaneously.


Ability to continuously seek quality service and process improvements in order to support the University's mission and strategic vision.


Ability to communicate, both orally and in writing, to interact and support effective partnerships with customers, superiors, peers and subordinates.


Ability to prioritize new and ongoing projects, to gather and present information related to areas of responsibility and to participate in cross departmental and organizational improvement initiatives.


Intermediate proficiency with MS Office Suite.


Flexibility to work irregular hours, conduct some overnight travel and participate in on-call 24/7 for emergencies.


Valid driver's license.



Preferred Qualifications


Experience in a complex, multi building environment in a college or University setting.
